Setting up an onboarding workflow in the HRStop Hire portal helps streamline the new hire experience, ensuring that every step of the process is smooth, consistent, and well-documented. Follow this step-by-step guide to create and customize a pre-onboarding workflow tailored to your organizational needs.
1. Log in to the HRStop Hire portal
- Launch the portal: Open your web browser and navigate to the HRStop Hire portal.
- Access your account: Enter your username and password to log in.
2. Navigate to the Tools section
- On the top navigation bar, locate and click the Tools menu.
3. Select Onboarding from the dropdown
- From the Tools dropdown, select Onboarding to proceed to the onboarding management section.
4. Access the Workflow tab
- On the Onboarding page, click Workflow to open the workflow configuration interface.
5. Add a new workflow
- Click the Add Workflows button to start creating a new onboarding process.
6. Fill in basic workflow details
- Title: Enter a descriptive name for your workflow.
- Description: Provide a brief overview of the workflow's purpose.
7. Assign a default buddy
- Use the Default Buddy option to assign a mentor or team member who will assist the new hire throughout onboarding.
8. Configure onboarding steps
For each workflow step:
- Step Title: Add a clear title.
- Content: Include relevant information, videos, links, or documents that guide the candidate through the step.
9. Define step-specific information
Add more context to each step:
- Title & Description: Summarize the step and add helpful notes.
- Duration: Set deadlines or timeframes for completion.
10. Add optional sections (Basic Info, Candidature Info, etc.)
- Choose from predefined sections such as Basic Info, Candidature Info, and Education Info.
- Select the specific details you want the candidate to provide.
11. Add additional custom steps
- Click Add New Step to include more steps based on your organization’s requirements.
- Select from available categories to define the type of information or activity for each new step.
12. Customize step sections
- Choose which sections you want to display in each step. The portal will reflect your selections accordingly.
13. Attach documents
- Click Add More Document Type to request specific documents.
- Specify the number required, e.g., request 6 months of payslips by entering “6” next to Payslips.
14. Assign tasks using To-Do’s
- Use the To-Do’s feature to allocate specific tasks to the candidate during onboarding (e.g., submitting forms, attending meetings).
15. Add custom forms
- Navigate to: Candidate Info → Custom Forms.
- Select and attach the appropriate form types that candidates need to fill in during onboarding.

Once your workflow is complete, it will be available for use whenever you initiate onboarding for a new hire. This setup ensures a structured, consistent experience for both HR teams and incoming employees.
Frequently asked questions
Can I use multiple onboarding workflows for different roles?
Yes. HRStop Hire lets you create and assign role-specific workflows.
You can define one workflow for sales hires, another for tech roles, each with customized document and form requirements.
Navigate to Tools → Onboarding → Workflow Configuration to create new workflows.
Can I reuse onboarding workflows?
Yes. Once created, onboarding workflows can be reused for any number of candidates across multiple hiring cycles.
At the offer stage, trigger the existing workflow without having to rebuild it each time.
What if a candidate forgets to complete onboarding?
From the candidate’s profile:
- Click Resend Onboarding Link.
- You can also send a manual reminder via email or through the Email Campaign tool.
Best practice: Send reminders 3 and 7 days after the trigger.
How do I make sure candidates receive onboarding emails?
- Confirm that the email address in the candidate profile is correct.
- Make sure email notifications are enabled under Settings → Notifications.
- Check the spam folder if the email is not received.
If you use a custom mail server, also verify the SMTP settings.
Can I send automated reminders for pending onboarding?
Not by default.
However, you can create Email Campaigns to manually send reminder emails in bulk to all pending candidates.
Navigate to Tools → Email Campaign and filter by “Onboarding Incomplete”.
How do I add custom instructions to onboarding steps?
While creating or editing a workflow:
- In each step (e.g., Candidate Info, Documents), you’ll see an Instructions field.
- Enter guidelines, tips, or file format suggestions here.
Example: “Please upload your last 3 months' payslips in PDF format.”
Is onboarding mobile-friendly?
Yes.
The candidate-facing onboarding interface is fully responsive and works on mobile browsers.
Candidates can upload documents, fill forms, and even submit video responses from their phones.
However, for the best experience, we recommend Chrome on Android or Safari on iOS.
What are “Pending Onboardings”?
These are candidates who were sent an onboarding form but haven’t completed it.
