Edit a document template

Editing a document template allows HR teams to update outdated content, correct placeholders, or customize letter formats for specific scenarios (e.g., contractual, full-time, interns).

Step-by-step guide to edit a template

  1. Navigate to Tools → Document Templates
    • Log in to the HRStop Hire portal.
    • Click Tools in the left-hand menu.
    • Select Document Templates from the dropdown.
  2. Locate the template you want to edit
    • You’ll see a list of all active and inactive templates.
    • Each entry displays the template name, creator, and action icons.
  3. Click the Edit icon
    • Find the template you want to modify.
    • Click the Edit icon next to it.
  4. Modify the template content
    • Update:
      • Static text: Wording like “Dear Candidate,” “We are pleased to offer…”
      • Dynamic placeholders: Ensure fields like {{candidate_name}}, {{joining_date}}, and {{salary}} are correct.
      • Formatting: Align paragraphs, adjust font size or bold key terms.
  5. Preview your changes (optional)
    • Before saving, click Preview to see how the document will look with test data.
  6. Click Save
    • Once changes are verified, click Save.
    • The edited template is now available for use when generating employee letters.

Tip: Add version numbers to template titles for easier tracking. For example, “Offer Letter – V2”.
