How to Edit a Document Template

Editing a document template allows HR teams to update outdated content, correct placeholders, or customize letter formats for specific scenarios (e.g., contractual, full-time, interns).

Step-by-Step Guide to Edit a Template

  1. Navigate to Tools > Document Templates
    • Login to the Hiring Bull portal.
    • Click on Tools in the left-hand menu.
    • Select Document Templates from the dropdown.
  2. Locate the Template You Want to Edit
    • You’ll see a list of all active and inactive templates.
    • Each entry will display the template name, creator, and action icons.
  3. Click the ‘Edit’ Icon
    • Find the template you wish to modify.
    • Click the Edit icon next to it.
  4. Modify Template Content
    • Update:
      • Static Text: Wording like “Dear Candidate,” “We are pleased to offer…”
      • Dynamic Placeholders: Ensure fields like {{candidate_name}}, {{joining_date}}, and {{salary}} are correct.
      • Formatting: Align paragraphs, adjust font size or bold key terms.
  5. Preview Your Changes (Optional)
    • Before saving, click Preview to see how the document will look with test data.
  6. Click ‘Save’
    • Once changes are verified, click Save.
    • The edited template is now available for use when generating employee letters.

Tip: Add version numbers to template titles for easier tracking. E.g., “Offer Letter – V2”
