Canned Responses are pre-saved email templates that help streamline communication with candidates. Whether it's interview invites, rejection messages, or offer letters, using canned responses ensures consistency, saves time, and reduces manual errors.

Benefits:

  • Maintain professional and consistent messaging.
  • Quickly respond to candidate status updates.
  • Personalize templates using placeholders (e.g., candidate name, job title).

Steps to Set Up a Canned Response:

  1. Log in to Hiring Bull with admin or recruiter access.
  2. Navigate to: Settings → Canned Responses
  3. Click on “Add Response” to create a new template.
  4. Enter a Title:
    • This helps you identify the template later (e.g., “Interview Invitation”, “Offer Letter”, “Thank You for Applying”).
  5. Compose the Message Template:
    • Use plain text or HTML formatting.
    • Insert dynamic placeholders such as:
      • {{Candidate Name}}
      • {{Job Title}}
      • {{Interview Date}}
      • {{Company Name}}
  6. Review the content for clarity, professionalism, and correct placeholders.
  7. Click “Save” to store the response.

Additional Tips:

  • You can edit or delete canned responses at any time.
  • When communicating with candidates, you can select a canned response directly from the message window and customize it before sending.
